- Job Title: AI Enablement and Operations Specialist
- Location: Dublin (Hybrid – 2 days per week in office)
- Contract Duration: 12 months
- Day Rate: EUR 190 per day
You will help optimise license allocation, support onboarding, and drive adoption of AI tools in a global, matrixed environment. Working closely with the Director of Digital Innovation and AI and the AI Governance Lead, you will also support governance activities including AI in GxP assessments, compliance tracking, and documentation.
This role combines operational delivery, user enablement, and governance support to accelerate responsible AI adoption across the organisation.
Key Responsibilities
AI License Operations
- Manage and coordinate distribution of self-service AI licenses, including Copilot, Gamma, and other approved tools
- Monitor usage patterns, demand signals, and access requests to optimise license allocation across Development
- Act as the central point of contact for AI license-related queries, requests, and user support
- Identify teams and functions that would benefit from AI access and support rollout planning
- Work across a global matrix organisation to engage stakeholders across functions and geographies
- Build strong relationships to understand business needs and support AI adoption aligned to readiness and demand
- Partner with SMEs to understand workflows and identify practical AI enablement opportunities
- Support onboarding, awareness, and understanding of available AI capabilities for end users
- Capture user feedback, adoption barriers, and improvement opportunities
- Support the AI Governance Lead with AI in GxP assessments and governance activities
- Ensure AI usage aligns with internal policies, governance standards, and regulatory requirements
- Assist with documentation, tracking, approvals, and governance records
- Support coordination of compliance-related actions across stakeholders
- Promote awareness of AI capabilities and encourage responsible adoption through clear guidance
- Provide practical, responsive support to users of approved AI tools, resolving routine queries and access issues
- Support role-based AI enablement by helping users identify where AI adds value in their workflows
- Capture adoption insights and usage trends to inform rollout strategy and prioritisation
- Provide clear guidance on compliance requirements, risk expectations, and Responsible AI practices
- Promote a culture of safe, ethical, and compliant AI usage across the organisation
Requirements
- Degree in Life Sciences, Data Science, Business, Technology, or related field
- Demonstrated proficiency in AI tools (e.g., Microsoft Copilot or similar)
- Strong interest in applied AI, digital innovation, and operational enablement
- Excellent communication and interpersonal skills in a matrix environment
- Ability to translate business workflows into practical AI use cases
- Highly organised with strong attention to detail and multi-priority management
- Proactive, solution-oriented mindset with continuous improvement focus
- Experience engaging stakeholders to identify adoption opportunities and barriers
- Experience in pharmaceutical, healthcare, or regulated environments (preferred)
- Experience working across global or cross-functional teams (preferred)
- Confident in operational coordination, documentation, and user enablement
